This guide is for our US Trusted Contacts and will talk you through how to get set up and start getting paid through Worksome.

Your client has selected you to join them on Worksome by adding you to their 'Trusted Contacts' this means you're one of their favorites!

We have prepared an onboarding kit below for you to get set up & here's a quick video to get you started:

1. Logging in to Worksome for the first time

  • You’ll receive a link via email to join Worksome.

  • When you click on the link, you’ll have the chance to create your password (along with your email address, this will form your login details).

2. Add Your Information

  • You'll be prompted to add information such as your demographics, skills, and bank information (where you'd like to receive payment). If you don't fill these out right away you can add them later here:

Note:

If you are engaged as a W2/on payroll, you will need to input most of your information through Gusto, our payroll system. However, there may be a few details that you will need to enter in Worksome as well. For example, you will need to provide your bank details in Gusto and will not need to do so in Worksome (although you can enter the information in both platforms in case of any potential future 1099 engagements).

  • Once you've been brought to your main homepage/dashboard, it is essential that the following sections are completed to their entirety (accessible by clicking your name on the bottom, left-hand corner):

    • Account Settings: 'Account' and 'Insurance Information".

      • For your reference, if you indicate you have a business entity set-up and/or insurance policies, you will also be asked to provide documentation.

Note:

For those engaged as a 1099, you will be asked to complete the following additional tabs: 'US Tax Information', and 'Bank' (if you did not enter your bank details upon initially logging in).

  • Worker's Classification Settings: This will appear if the client has opted to use our Worker's Classification tool to help them identify the engagement classification (W2 vs 1099) for a particular job/contract. Please provide a 'Yes' or 'No' response to all questions listed. If your situation changes you should go back and review your default answers.

These settings are required to be filled out in order to accept a contract.

3. Locating your first contract

  • Your client will invite you to accept your contract (the contract may already be in your account when you accept the initial invite).

  • You’ll be able to view your contract from your dashboard under ‘Your jobs in Worksome’, or from within ‘Your conversations’.

  • If you can’t see a contract within your account, it means that your client hasn’t sent it across. Reach out to your hiring manager/ contact and they will take care of that for you.

5. Accepting your first contract

  • You can accept your contract via your dashboard under ‘Your jobs in Worksome’’ or from within your ‘conversation’.

  • You’ll be able to accept your contract

    • Once the Worker Classification process is complete. You will see a determination on the top right classifying the hire as a 1099 or W-2.

    • You have filled out your business entity.

    • Your US Tax information (W-9) has been filled out (US-based contractors)

    • Your W8-BEN tax form has been filled out and uploaded to your profile (only for International contractors working for US clients). For additional guidance on completing the W-8BEN form, please refer to the following guide.

6. Creating your first payment request

  • You’ll need to create payment requests to get paid!

  • You can do this from the payment request page or from with your ‘conversation’.

  • How the payment request page generates will depend on your agreed pay (so it will appear as hourly if you’ve agreed an hourly pay rate in your contract).

  • You’ll need to enter the dates for the period that the payment requests covers (note that you can’t bill for the future or for dates outside of the contract dates).

  • If hourly, you would just add the number of hours (the rate will auto populate) and you’ll see your total.

  • You’ll also need to attach a timesheet (speak with your client to agree the format) and a PO if needed.

  • You can then go ahead and send the payment request.

7. Getting paid

  • Once you’ve submitted your payment request, the next step is to receive your payment.

  • The date you receive your payment will depend on your payment terms which you can find in your contract

  • You can find your payment due date on your payment requests page.

  • For some clients, payments are on “pre-pay”, this means that once your bill has been accepted, we will pay you (even if the client hasn’t paid us) when your payment becomes due.

  • Where payments are not on pre-pay, the client would need to pay Worksome for us to then transfer the funds to you.

  • You will receive email notification when Worksome has processed your payment to your bank account. This will typically take 1-2 working days to reach you, provided you have a US bank account.

NOTE:

  • If a payment date falls on a weekend or a bank holiday, it will be processed on the following working day.

  • A bill can’t be paid unless it has been approved by the client.
