How to create Approvals on Worksome

You can create custom approval rules on Worksome for different members of your team. This is a how-to guide on the approvals feature.

The Approvals feature is available to companies, and it aims to streamline the hiring process by allowing clients to customize and automate their approval workflows for new hires.

This tool enables users to:

  • create specific workflows tailored to their internal processes

  • automatically triggering approval requests when certain criteria are met

  • assign approval groups

  • set approval sequences

  • ensure the right team members are notified when action is needed

Hiring managers can track the approval status in real-time, gaining full visibility into who has approved or denied each step. This feature improves efficiency, offering a flexible, user-friendly way to manage hiring approvals.

This feature is available to enterprise clients and can be manually enabled upon request. It is ideal for teams needing a more structured, efficient approval process for freelance hiring.


Step-by-Step Guide

1. Set up approval groups

  1. Go to Company Settings and then Approvals.

  2. Go to Groups to create a new group of approvers. You need to choose a group name and add the team members by searching their names. You also have the option to add a group instruction.

You can Edit the Groups at any time by pressing the Edit button on the Left column.


2. Set up a workflow

To set up a new workflow, from the page Approvals, choose the Workflows section. Press on 'Create Workflow':

  • Choose a Workflow name.

  • Choose the type of Workflow:

    1. Hire Created Approval - the workflow is triggered whenever a hire is created

    2. Hire Changed Approval - the workflow is triggered whenever hire settings change

    3. Classification Created Approval - the workflow is triggered whenever a classification is created

  • Add group instructions (Optional)


3. Set up custom rules:

The Approvals feature allows you to create custom rules tailored to your company's internal policies and regulations.

To do that, you have to:

  • Choose a system variable or custom field - for example, Budget. Set up the rule (For instance: budget equals less than 100k)

  • Choose one or multiple approver groups: one or multiple team members will need to approve contracts that fall under the custom rule.

    You can arrange the order of the approving groups by dragging and dropping the groups in Edit mode.

Note: The first approver group will need to approve the contract before the two approval groups can approve

  • Create a new Custom Rule: there is no limit to how many custom rules you can create. 🎊


4. Set the Approval Live

Once you set up your Approval Workflow, don't forget to set it Live and Update it from the button on the top right side.


5. Check the approvals

After setting the Workflow Live, you will be able to see the Approvals section on the menu.

On the Approvals page you can see which Approvals are Pending and those that have been reviewed:

Note: Remember to add new team members to an approval group if needed (they don’t get assigned automatically based on their role
