Using Approvals for Direct Hires and Jobs in Worksome

The Approvals feature in Worksome streamlines the review process for direct hires and offers optional functionality for job approvals. To access the Approvals page on your Worksome profile, ensure you’re part of an approval group. This feature provides a central place to manage and track approvals, making it easy to keep your hiring and job postings on track.

This image shows the Approvals page on the sidebar menu in the Worksome platform. This is how you can access the Approvals section and oversee the pending and reviewed approvals.


Components of the Approvals Page

The Approvals page is divided into two main sections:

  1. Reviewed: This section shows approvals that have already been reviewed.

  2. Pending: This section shows approvals that are still waiting for review.

If you belong to multiple approval groups, you can view all reviewed or pending items from any group you’re part of, not just the ones you reviewed.

Approval Activity Tracking

For each approval, you can see the latest activity status, which may include:

  • The creation of a new approval request.

  • A status update from a previous approval group, showing whether the status has changed.

This activity log helps keep track of the latest changes and provides transparency throughout the approval process.

Reviewing an Approval

To review an approval, select Review on the latest approval workflow. You’ll see all relevant details, including:

  • Requested by: The person who initiated the approval.

  • Workflow: The specific workflow associated with the approval.

  • Step & Group: Information on which group you belong to within the workflow.

  • Hire Details: Fields and information required for the hire.

Review options include:

  • Accept: Approves the hire or job.

  • Deny: Rejects the hire or job, requiring a reason for clarity within the team

Approval pop-up that displays the details necessary for the Approver to approve the job or hire. Sections on the page are: requested by, workflow step & group, a bigger details section comprising of the contractor's name, job title, rate, timeframe, PO number, budget and job description, a review section with two options: Approve and Deny and a comments text area section.

Approval Overview

Each approval includes a View Approval Details option, which redirects to the Job page > Approvals section for further review.

This shows the row of an approval displayed on the Approvals page. This row contains the name of the contractor, the number of approval steps, the name of the job owner and the date that the job was created as well as a link to the Review pop-up. It also shows three dots at the end of the row that take you to 'View Approval details'.

Job overview where you can see the Approvals associated with the job. On the Approvals section of the job, you can find the roadmap of the approval, who is in charge of each step of the approval and the tealent hired on the job.

Optimal Use of Approvals

Using Approvals with direct hires is the most effective way to maintain a clear and organized hiring process. While Approvals can also be applied to job postings, please note that some limitations may apply when used in this context.
