Creating a payment request in Worksome

To create a payment request in Worksome, you can follow these steps:

  1. 💬 Go to Conversations

    Check 'Conversation with your client' and check if you accepted your contract for the job. To create a payment request you need to accept the contract first so make sure you've got a contract offer & have accepted! ✅

  2. 🆕Hit "Create new payment request"

    Once you've accepted your contract, you'll see you now have a "Create new payment request" button available on the job. You can create a payment request directly from your dashboard or in your Job Conversation with your client.

  3. 🧾Fill in your Payment Request Details

    When creating a Payment Request, you'll see you have a few simple fields to complete, all in one easy screen:

    ❗️The important fields to remember are:

    • Billing Period (the period you are billing 'from' and 'to').

      Billing period
    • The Number of Hours/Days/Weeks/Amount you are billing for

      The rate will auto-populate with your agreed contract rate, simply enter the number of hours/days/weeks you are billing for, and the payment request total will calculate for you.

      If for any reason you need to bill for an amount different to your agreed rate (and your client has agreed so), you can select 'Specify Amount'.

    • The number of hours, days or weeks worked:

      Enter the number of hours or days you've worked. Whether you enter hours, days or weeks will depend on whether your contract has an hourly, daily, weekly or monthly job rate.

      Billable time -- number of hours worked and timesheet-- report specific time worked

    • Your Timesheet

      If your client requires one from you, be sure to enter a timesheet for your payment request. You have 3 ways to do this in Worksome:

      ◦ You can upload a file (a screenshot from your client's timesheet system if applicable).
      ◦ You can use our in-built timesheet.
      ◦ You can use our text field to simply write your timesheet information.

  4. 📲 Click on ‘Send your payment request’

    Once you've filled in all required fields (please ensure you double-check your payment request total), you're ready to go, hit the Send payment request button!

    You'll be able to see the payment request in your Job conversation and follow updates on your payment request page. You'll see you can also download a copy of the payment request, or the invoice by clicking on the invoice number.

  5. Getting Paid

    Once your payment request is approved by your client, you'll be able to see the payment request's due date by clicking on the status on the payment request page.

    Once we receive payment from the client, we will process a payout to your bank account. You will receive an email notification from Worksome as soon as the payment has been processed by our team.

Note: It is your responsibility to ensure you have the right bank details saved in Worksome when your payment is due. If you want to check or update your bank details, you can do that in your bank details settings.
