Requesting Payment with Embedded Timesheets

Overview

When it’s time to request payment on Worksome, you can log your working hours or days (depending on your contract terms) in various ways. This article focuses on using embedded timesheets—a built-in feature that simplifies how you record and share your work details with clients.


Key Ways to Record Your Work

  • Embedded Timesheets (recommended in this guide)

  • Uploaded Documents (e.g., your own or the client’s timesheet)

  • Comments (provide extra context to your client)

  • Invoice Total (enter a lump sum for final billing)


Step-by-Step: Using Embedded Timesheets

1. Access the Payment Requests Page

  1. Click “Request Payment.”

  2. Select the Relevant Job – From the dropdown, choose the job or contract for which you want to request payment.

2. Set Your Work Timeframe

  • Choose Your Dates – Input the date range that reflects when you performed the work.

  • Verify Duration – Ensure you’re selecting the correct weeks or days before proceeding.

This is the calendar function displayed whenever you open a payment request. It is important that the dates chose in this calendar cover the date specified in the worker's contract.


3. Open the Timesheet Section

  1. Select “Timesheet” – Look for the timesheet option within the payment request page.

  2. Click “Create Timesheet” – This action opens a new pop-up window that corresponds to the date range you selected.

4. Fill Out the Timesheet

  1. Review the Displayed Weeks

    • The pop-up will automatically show the weeks/days you picked in the previous step.

  2. Enter Your Hours or Days

    • If your contract is hourly, input the hours worked in the white boxes.

    • If your contract is day-based, enter the number of days you worked.

  3. Clock Formats

    • Your timesheet follows the device clock settings (12-hour or 24-hour format).

    • If using a 12-hour clock, include AM/PM (e.g., “12:00 pm”).

  4. Save Your Entries

    • Once you’ve added all applicable hours or days, click “Save.”

    • You’ll return to the payment request page, where your newly added timesheet details will be displayed.

5. Add Comments (Optional)

  • Provide Context

    • If you want to give extra details about your tasks or clarify any points for the client, add comments here.

  • Improve Transparency

    • Well-documented comments can speed up client approval and reduce back-and-forth communication.

6. Submit Your Payment Request

  1. Review All Details

    • Confirm your timesheet entries, comments, and any attached documents (if applicable).

  2. Click “Send Payment Request”

    • Your client will be notified, and they can review and approve your timesheet for payment.
