How to Add Timesheet Lines

Overview

Timesheet Lines enable freelancers on Worksome to log detailed hours for each project or task, using custom fields provided by clients (e.g., project codes, tasks, or job names). This detailed breakdown helps ensure accurate payments and better visibility over your work.

Letting you know that the Timesheet Lines feature is in Beta. It is currently in its testing phase on specific clients.

How to Log Hours with Timesheet Lines

1. Create a Timesheet

  • Navigate to “Time x Rate”
    Go to your job or contract page and click on “Time x Rate” (or “Create Timesheet” if visible).

    This is the payment request page bit where a worker can create a timesheet via the button + Create timesheet.

  • Add a Timesheet Entry

    • Click “+ Add New Line” to create a new timesheet entry.

    • Select the relevant custom field (Text or Dropdown).

This is the pop-up that is dialyed when a worker wants to add a new line to the timesheet. You can see the Custom Fields and the Payable toggle alongside the Save button.

Tip: Add multiple lines if you have multiple tasks or project codes for one day.


2. Allocate Hours

  • Enter Your Hours

    • Add the number of hours worked for each specific task or field.

    • Ensure you don't exceed the daily limit set by your client

  • Payable vs. Non-Payable

    • Payable Hours: Toggle ON (indicated by a “$” symbol). These hours will be invoiced to the client.

    • Non-Payable Hours: Toggle OFF (no “$” symbol). Use this option for tasks you need to track but do not bill for.

      This is the Payable Toggle which refers to whether the hours introduced are 'payable' or not.

Hint: You’ll see a weekly summary on the right side of the screen, helping you keep track of your total hours at a glance.


3. Submit Your Timesheet

  • Review Entries

    • Double-check your hours, project codes, and any extra notes before submitting.

  • Submit for Approval

    • Click “Submit” to send your timesheet to the client. They’ll receive a notification to review and approve.


Best Practices

  • Log Hours Daily - Update your timesheet daily to keep track of hours accurately and reduce last-minute scrambling.

  • Communicate Often - If you’re unsure which custom field to use or if you need new project codes, reach out to your client for clarification.

  • Keep an Eye on Limits - Always stay mindful of any daily or weekly maximum hour limits set by the client.
