What is Budget Tracker in Worksome?

Budget Tracker is a feature that helps companies manage and monitor hiring budgets within Worksome. It allows you to set and track budgets for individual hires or projects, and gives your team visibility into how much has been spent — especially when approving payment requests.

It's designed to support financial control, transparency, and smarter decision-making during the hiring process.

What Budget Tracker Helps You Do

  • Set budgets at both the job and project levels

  • Track what’s been spent vs. what’s been planned

  • See budget status when reviewing payment requests

  • Organize jobs into larger projects for oversight

  • Keep hiring managers, finance, and admins aligned.

Where is Budget Tracker used?

When creating a new hire

If Budget Tracker is enabled, you’ll see an option to add a budget when creating a job (for both direct hires and job posts).

You can:

  • Enter a monetary budget

  • Link the job to a project (if project tracking is enabled)

  • Set budgets as required (Admins only)

This makes sure each hire starts with a defined budget.

In the Projects Tab

If project tracking is enabled in Hiring Settings:

Once your account has project tracking turned on, you’ll see a Projects tab in the menu.

From there, you can:

  • Create projects and add related jobs

  • Track spending across multiple hires

  • View current and projected costs

  • Filter projects by owner or status

  • See a summary of project spend on the home page

  • See a summary of active projects and budgets on the Home page

Projects are internal only and are not visible to external talent.

During Payment Request Approvals

When someone submits a payment request, approvers (like Admins, Finance, or Hiring Admins) will see a budget progress bar that shows:

  • The total budget for the job

  • How much has already been spent

  • What’s left in the budget

If the job is over budget, the bar will turn yellow or red. This does not prevent approval — it’s simply there for visibility.

Who Can Use and Manage Budget Tracker?

Can assign job budgets, view spend during approvals

Can view and approve with budget visibility

Other Roles

No access by default

Only Owners and Admins can enable Budget Tracker and modify project tracking in Hiring Settings.

Use Cases

Here are a few examples of how teams use Budget Tracker:

  • Hiring with a set budget
    When creating a hire, the manager enters a fixed budget (e.g., $15,000). They can track how much has been spent through the approval process.

  • Managing a shared budget across multiple hires
    A project is created for an upcoming launch. Several jobs are added under the project, allowing the team to track overall spend across roles.

  • Finance team reviewing spend before approvals
    Finance approvers see the budget bar when reviewing requests. If a job is nearing or exceeding budget, they can follow up before approving.
